Job Overview/Purpose
Every day may be different – and that’s the exciting part of projects! As a Project Coordinator, your primary responsibility will be to support the successful delivery of our projects by leading small engagements and assisting Project Managers and Consultants in the coordination, tracking, and administrative oversight of larger engagements. You’ll help ensure that internal processes are followed, communication is clear, and delivery stays on track. If you're a highly organised individual with a passion for customer service and teamwork, this is a great opportunity to grow your project delivery experience within a friendly and fast-paced team. On a day-to-day basis you will be liaising with our wonderful Customers (some new and some longstanding), and most of the company including Pre-Sales, Commercial, Consultancy, Support and Finance to name but a few – acting as the connective glue across all phases of the project lifecycle. From scheduling meetings and managing documentation, to tracking tasks in project plans and highlighting risks and issues, your role will be key to helping projects run smoothly.
Main Duties and Responsibilities
Support the mobilisation of project teams at project kick-off by coordinating with Pre-Sales, Account Managers, and Resourcing teams
Schedule and prepare for project meetings, including agendas, notes, and action tracking
Maintain and manage project documentation, ensuring it's up to date and accessible
Create and update project delivery plans for small engagements or assist Project Managers and Consultants with this for larger projects
Monitor project timelines, task completion, and dependencies, flagging any risks or delays
Generate status updates and progress reports for internal stakeholders and customers
Log and track project activity in internal systems in line with PMO processes
Coordinate internal and external communications across the project lifecycle
Assist with project resourcing
Support the management of project budgets by tracking spend and assisting with financial reporting
Assist with quality assurance by reviewing deliverables and gathering customer feedback
Help track and manage project Change Requests and ensure proper documentation
Contribute to post-project reviews and lessons learned sessions
Anticipating potential challenges and addressing them before they become issues
Skills, experience and qualifications
Experience in a project coordination, administrative, or junior project management role
Exposure to project management environments, preferably within a Microsoft Partner or similar IT setting
Strong organisational and time management skills, with the ability to manage multiple priorities
Excellent written and verbal communication skills
Customer-focused mindset with a collaborative and proactive attitude
Basic understanding of project management processes and methodologies (PRINCE2 Foundation, Certified Associate in Project Management (CAPM), or similar certifications are a plus)
Familiarity with Microsoft 365 tools (Excel, Teams, SharePoint, etc.)
Resilient and able to work under pressure
Commercial awareness
A keen eye for detail and a methodical approach to work
Comfortable working independently but also thrives in a team environment
Desire to learn and grow within a project delivery function
